Administrative Assistant

Type: Full Time - Administrative Assistant

Clairbourn School is hiring an Administrative Assistant. This is an exempt salary position that begins as soon as possible.  

Clairbourn School is a coeducational, private school for students in preschool through middle school (JPK-8th) that has continuously served the greater Pasadena area since 1926. We are known for excellent academics, our welcoming community, our attractive campus, and a strong record of sending graduates to top area high schools. Clairbourn educates over 200 students and employs over 30 highly motivated and skilled educators. Clairbourn is accredited by both CAIS and WASC.   
 
Requirements and Qualifications
  • College degree and 3 years experience preferred
  • High energy level, creativity, joy, positive attitude, and flexibility
  • Excellent communication skills in both English and Mandarin.
  • A professional demeanor in all aspects of work
  • Confidentiality is a must
  • Excellent computer skills are a must with experience in database management, work with Google Suite, and Microsoft Office
  • Knowledge of Blackbaud products preferred   
  • Test for tuberculosis not more than one year prior to or seven days after employment
  • Documentation of a Department of Justice criminal record clearance or exemption as required by law
Duties
  • Analyzes and organizes office operations, workload, and procedures such as flow of correspondence, maintaining accurate student records, telephone and in-house reception, and other clerical services in support of administrative activities.
  • Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.
  • Delegates clerical work, where appropriate, to the Health Office Attendant and School Receptionist positions.
  • Maintains the strictest confidentiality with respect to the Head of School’s correspondence, reports to the Trustees, or other high level communication and processing such work without delegating.
  • Assists in Board correspondence, maintaining notebooks and online records, and organizing records.
  • Establishes uniform correspondence procedures and style practices.
  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of student and corporate records.
  • Produces student management reports including quarterly report cards, transcripts, and academic award certificates.
  • Coordinates the scheduling of school-wide parent conferences in cooperation with the faculty.
  • Assists the Head of School in preparations for specific school events including Visiting Days, Assemblies, and Graduation.
  • Reviews employee and applicant files and records to insure completeness, accuracy, and timeliness.
  • Conducts performance appraisals for employees under supervision in accordance with school policy.
  • Completes all other assigned tasks in support of and coincidental to the Head of School’s administrative duties.
  • Produces the weekly newsletter in coordination with the Head of School, CFA, and the Communications Director.
  • Maintains records using our Learning Management System.
  • Coordinates and sends mass phone/text/email messages to the community.
  • Schedules use of conference rooms for meetings.
  • Orders food for meetings and plans events for faculty activities.
  • Distributes and processes mail.
  • Translation of written and verbal communication when needed.  
  • Maintain and troubleshoot workroom machines and the postage machine.
  • Oversees and assists in hot lunch distribution.
  • Assists CFA as needed.
  • Assists in other support tasks necessary to the mission of the school.

Compensation:
Wage is commensurate with experience and includes a generous benefit package including health, dental, and vision insurance, life insurance, and retirement benefits.
